APUC uses a standardised approach to contract and supplier management across its collaborative framework agreements, which can also be adopted by institutions locally. This consistent approach streamlines processes, strengthens risk and opportunity management, supports effective supplier relationships, and increases overall contract compliance.

Contract and Supplier Management is the process by which a contract or framework agreement can be managed so as ensure effective supplier performance and contract compliance.  It can aid in:

Regardless of how a procurement strategy is structured, each contract or framework agreement is shaped by decisions on scope, the potential supply base, and the intended outcomes. The level of contract and supplier management required will depend on two key factors:

These elements help determine the intensity of contract oversight and the type of engagement suppliers can expect throughout the agreement. There are three levels of contract management, as adopted by APUC, being Routine, Managed and Strategic.

As part of ongoing contract management, suppliers are requested to provide Management Information (MI) data, typically on a quarterly basis. This information supports assessment of performance against framework KPIs and provides insight into overall framework delivery, enabling improved service to members and effective supplier engagement.

During contract review meetings, performance information will also be shared, including framework position and market share relative to competitors, to support targeted activity and continual improvement.

Management Information is to be reported quarterly via the MI website; UCSP using the upload spreadsheet. Quarter dates are shown below for your reference;

APUC is keen to work with suppliers to promote the framework agreement.

All marketing materials to be distributed by suppliers to Institutions and client organisations should state the Framework Agreement reference and title. The materials should only contain reference to products on the Framework. APUC Ltd do not allow suppliers to use the APUC Ltd logo on any marketing materials that are not for the specific purpose of promoting an APUC Ltd awarded Framework Agreement to Institutions and client organisations; this includes exhibition stands, sales literature, websites or general marketing materials.

Materials should be provided to the APUC Framework Manager for submission to the APUC Compliance Manager for approval prior to distribution. After approval has been given a copy of the APUC Ltd logo and usage reference will be assigned. The usage reference is traceable through the APUC Operations and Communications audit.

Please note that APUC Ltd do not use supplier endorsements in our literature or online.
